How to Propose a Field Course

Please note:  International field course proposals should be submitted 18 months prior to the date of the trip and a domestic field course proposal should be submitted 6 months prior to the date of the trip.

When you log into the Topic Request Management module, click Propose New Topic Course.

  • Complete the required fields under Field Course Proposal section only.
  • Upload all necessary documentation (budget worksheets). The Risk Assessment that needs to be signed by the Dean can be attached to the Course and Funding Review section.

  • Once the proposal has been submitted, an email will be sent to the first step in the process.

 

Workflow Steps/Roles

  1. Field Course Monitor – Checks on Workflow steps and updates if necessary.
  2. Department Review - Chair/Program Coordinator are responsible for reviewing the full proposal, including budget & course fee, and risk assessment..
  3. Faculty Review- Course and funding review and budget sign off. 
  4. Risk Assessment Process - International Mobility, HR Office and Science Safety Advisor (if Science field course).
  5. Enrollment Services -  Creates CRN and makes course visible on Self Service Banner. The course will only be visible on Self Service Banner once the budget has been signed off as approved by the appropriate Dean and the risk assessment process has been completed.
  6. Service Centre
  7. Risk and Insurance Services - Consent/Waiver forms need to be signed and forwarded to Risk before the start of the field course.
  8. Service Centre - Reviews student Banner accounts and ensures all fees are paid.
  9. Proposer Name – Added manually to complete Post Trip section.
  10. Department Chair Post Trip Review

FYI emails are sent to Risk & Insurance Services and Science Safety Advisor (if Science Proposal).
